Supplier Services Agreement

 

Firstly, we welcome your professional assistance in making events at Frida’s Field perfect. We are delighted that your services have been engaged and look forward to working with you. In doing this we need to know you understand our venue Terms & Conditions (T&Cs).

  1. All suppliers must read and agree to uphold the venue’s T&Cs, which you can find on via the above link.

  2. All suppliers must read this page and submit the below form before being permitted to engage their services at the venue.

  3. The venue has designated parking for staff/suppliers. The day coordinator or venue manager will be able to direct you to designated parking.

  4. Upon arrival at the venue, please report to the day coordinator or venue manager for further instructions and updates.

  5. You must provide all equipment necessary to perform your service.

  6. All instructions given by the day coordinator and Frida’s Field management must be adhered to in full.

  7. Weather conditions may change; please have all appropriate equipment required to perform your billed service in all weather. The venue will supply power at no charge to you. If, in the event of a power outage your service requires power, please ensure you have a supply of back-up power.

  8. The venue will not be held responsible for loss and/or damage of your equipment or cancellation of your booking.

  9. You acknowledge that you have contracted directly with the client to supply your services and Frida’s Field is not contractually responsible to you for the payment of any moneys.

  10. You are responsible for your own insurance for personal injury or damage to property.

  11. You indemnify Frida’s Field from and against any claim, action, suit, damages, costs, personal injury, loss, expense or liability of any kind however suffered or incurred, in respect of any loss of life, personal injury, loss or damage to property or other loss whatsoever arising as a result of:

    • Any breach of this agreement by you or your employees or sub contractors;

    • Any breach of the law by you or your employees or sub contractors; and

    • Any negligent or wrongful act or omission by you or your employees or subcontractors.

    EXCEPT to the extent that such loss of life, injury, loss of or damage to property or other loss is caused by the negligence or wrongful act or omission by Frida’s Field.

All Suppliers

  • The provision of your service is wholly your responsibility. Please contact Frida’s Field if you require any additional information and/or clarification.

  • The set up, pack down and removal of your equipment, service and rubbish is your responsibility and must be arranged at pre-determined times.

Hair & Make Up

  • Please confirm your arrival time prior to the event.

  • Please ensure that hair and make up is completed 30 minutes before the ceremony starting time.

Florists

  • Please ensure delivery and pick up of flowers and equipment is at pre-approved times.

  • No responsibility is taken by the venue for any loss or damage to items and equipment supplied by you.

  • The venue does not have a flower cool room, unless arranged prior to the event with the venue.

Celebrants

  • Please ensure that you arrive no later than 30 minutes before the ceremony.

  • The day coordinator will set the level of the PA (if required).

  • If a PA is required it must be battery operated with a cordless microphone.

  • The day coordinator will coordinate the location, timing and movement of guests to and from the ceremony.

  • No other equipment is permitted (apart from the appropriate documents).

Photographers & Videographers

  • The use of drones requires prior approval from the venue owner.

  • No drones flying over any of the neighbouring properties.

  • Drones are limited to the use of up to 15 minutes per hour.

  • No use of drones after 8pm.

  • Videos promoting your service at this event must credit Frida’s Field.

Transport

  • All guests must arrive and depart by bus.

  • All guests are to arrive at agreed times by bus (usually 30 minutes prior to the ceremony).

  • All guests are to depart and be offsite the premises at agreed departure times.

  • No horns or loud music are to be used or played when you arrive at or depart the venue.

  • No parking on immediate or adjoining street or driveways to the venue.

Musicians

  • All musicians must contact Frida’s Field for prior approval.

  • The venues T&Cs are to be adhered to and are controlled and monitored by the selected wedding coordinator.

  • A noise level of 90 decibels must be strictly adhered to. The venue owner and the day coordinator will monitor music decibel levels and ensure the limit is adhered to. If you are asked by any member of the Frida’s Field team to reduce your music levels you must do so immediately and you must ensure that the music level is in compliance with the 90 decibel limit.

  • All musicians must be located inside the barn with the barn doors closed from 8pm onwards. Prior to 8pm musicians are permitted to be outside or on the veranda.

  • When a musician is outside their music decibel levels must not exceed 90 decibels when read by a decibel reader outside. When a musician is inside the barn their music decibel levels must not exceed 90 decibels when read by a decibel reader inside the barn.

  • You must provide all equipment necessary to provide your service i.e. tape, umbrellas, rugs, tables, stools etc.

  • All electrical equipment must be tagged and comply with NSW Laws.

  • The positioning of your performance must be predetermined in the booking process.

  • Any costs associated with relocating, covering etc. are at your cost, unless arranged prior.

  • A DJ or band is permitted.

  • Drums, brass and wind instruments are not permitted.

  • Bands are limited to a maximum of 3 pieces unless prior approval from venue owner has been obtained.

  • Music is to stop at 10:00pm on the.

Decorator/Stylist

  • All equipment supplied by you is to be set up and packed away by yourself on the day of the event.

  • Set up can commence at 9.00am on the day of the event.

  • Pack down is to be completed by 12pm on the night of the event. Subject to prior approval.

  • No hooks, nails, tape etc. are permitted without prior approval.

Cake/Dessert Table/Lolly Suppliers

  • Please ensure the delivery of cake and collection of stand are at pre-approved times.

  • No responsibility is taken by the venue for any loss or damage to items supplied by you.

  • The venue does not have a cake cool room. If one is required please discuss and arrange it with Frida’s Field prior to the event.

COMPLETED AGREEMENT

The person completing the below form fully understands the Terms & Conditions outlined above in the provision of their services at the venue and agrees to comply with them each and every time they provide services at Frida’s Field.

By completing the hereunder form, you agree that you have read and accepted the above Terms & Conditions and that your failure to do so will indicate that you will not provide your service at the venue.
